In this policy, the following definitions apply:

"3to3" or "3to3.org.uk" (also referred to as ‘we' and ‘us') means the website "3to3.org.uk" which is run by Wales Council for Voluntary Action;

"Site" means 3to3's online shopping website at www.3to3.org.uk

"WCVA" are the Wales Council for Voluntary Action, who manages the 3to3 site;

"User" (also referred to as ‘you’) refers to someone who uses the Site;

"Vendor" or "Seller" refers to a member organisation of WCVA who is invited to register to use the site for retail purposes, create and maintain product or service listings and charge a fee for their products when selling them to customers of the 3to3 site;

"Customer" or "Buyer" refers to an individual or organisation that makes a purchase on the Site;

"Listing" refers to a product or service listing created by a vendor in order to place their item onto the website for selling purposes.

1. Scope of policy

1.1 The following policy outlines how we use and protect your personal information and for what purpose we intend to use your information.

1.2 By using the Site, you are expressing your consent to our use and disclosure of your personal information and direct us to do so in the manner as described in this policy.

1.3 This policy does not apply to the practices of third parties involved with the Site that 3to3 does not own or control.

1.4 In conjunction with the terms and conditions for using 3to3, you must be 18 years or older to use this website, unless you have permission from a legal guardian. Therefore, this policy does not make any provisions for individuals under 18 years old.

2. Collection and use of information

2.1 As a website user on 3to3, you are not required to submit any personal details to 3to3 during the normal course of browsing the website.

2.2 During your visit to the site we may record some website traffic information, such as your IP address, browser type, times of accessing the Site and the web address of the website you came from. This information is not personally identifiable and enables us to use this information to improve our website’s performance and make any changes we feel are necessary to our website.

2.3 3to3 will not sell or disclose your name or email address to third parties without your explicit consent, except as specified in this policy.

2.4 If you represent an organisation that would like to obtain a seller account to sell on the website, you will be required to contact WCVA in order to create a 3to3 account for your organisation. During the process of registering for a 3to3 account, you will be asked to provide some information, which will include your organisation’s name, address, contact number, email address and WCVA membership number, as well as a chosen password for the purposes of logging in to access your account.

This information will then be analysed by a WCVA employee to check that the data is accurate and matches those on record. If successful, the employee will then create your account. The submitted organisational details will then be held on the 3to3 database, for the purposes of facilitating the log in and access to your account. This information will only be visible to employees of WCVA and will not be sold or rented for marketing purposes. Some of this information will be placed onto the website, for the purposes of providing contact information for customers regarding any items or services you make live onto the website. For example, your organisation name and contact details will accompany any listing you create, so that potential customers/interested parties can contact you for queries regarding your products/services.

3. Data collection from third parties

3.1 To purchase or sell something on the site, you will need to register for a PayPal account if you do not already have one. In this process you will need to agree to PayPal terms and conditions as well as to the terms of their privacy policy.

3.2 Should you proceed to make a purchase on the website, you would need to be a registered PayPal user with an activated PayPal account in order to complete your purchase and to transfer the required fee to the seller of the product. This process will involve logging into your PayPal account to complete the transaction.

3.3 During this process, your data necessary for the transaction will be governed by the PayPal Privacy Policy.

3.4 Through the PayPal process for carrying out a transaction, PayPal will make certain details available to the seller which would be required to facilitate the transaction. The PayPal privacy policy states that:

If you are buying goods or services and pay through PayPal, we may provide the seller with the shipping address for the goods and your billing address to complete your transaction with the seller. The seller is not allowed to use this information to market their services to you unless you have agreed to it. To facilitate dispute resolutions, we may provide a buyer with the seller’s address so that goods can be returned to the seller.

It is recommended to read the PayPal privacy policy to familiarise yourself in the ways in which your data will be handled between PayPal and vendors during transactions.

3.5 A number of vendors will list details of a service they may offer on the Site, which may not require any form of transaction. These listings will usually provide a link to their website in order to find out more information or to make a booking, which is external to 3to3. Should you click on these links which have been provided for your convenience, then you will be governed by any privacy policies they may set on their website.

3.6 As part of the buying process on 3to3, you may obtain a seller’s email address, postal address and other contact information. In line with the terms and conditions to using the site; you have a limited license to use this information and it should only be used for 3to3 related communications and for the purposes of facilitating a 3to3 related transaction. 3to3 has not granted you a license to use this information to send unsolicited communications, advertisements or any other form of non-3to3 related contact.

4. Product listings for sellers

4.1 When you submit a product or service listing, it will be held on the 3to3 database for the purposes of displaying it on the website. As a seller, you are able to log in and manage all of your listings held on our database, which can include editing or deleting listings. Any information that you provide in a listing will be visible to visitors to the Site.

4.2 When you have placed a listing onto the Site, it is possible for visitors to copy and replicate this information, and some may do so outside of the stated acceptable uses of the Site in the terms and conditions. The seller accepts that this may be beyond the control of WCVA or 3to3.

5. Information Sharing

5.1 Due to the nature of 3to3’s business model in which products and services are largely offered by affiliated vendors, when a transaction is made you will share customer information that is related to such transaction with the affiliated vendor who supplies the product/service.

5.2 WCVA uses employees to run 3to3 and needs to share your information with them to provide services to you. Examples of this would include, but not limited to, analysing data, providing customer service and website maintenance.

5.3 3to3 will not rent, sell or share your personal information with non-affiliated parties or vendors without your consent, except as specified in this policy.

5.4 It may be necessary to share your information in order to investigate, prevent or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person or violations to 3to3’s terms and conditions.

6. Service-related communications

6.1 When you sign up for a seller account on 3to3, you will receive a welcome/confirmation email, which is necessary to activate your account and confirm that you have a functioning email address.

6.2 If you purchase an item on the website, then you will receive an email from 3to3 confirming your order. As 3to3 is a marketplace which hosts products from different vendors, you should also receive an email from the product vendor to confirm your purchase, as well as a third-party email from PayPal as receipt of your transaction.

6.3 If you sell an item on the website, you will receive an email from 3to3 informing you of the purchase with instructions informing you to contact the customer to confirm their order.

6.4 You may not opt-out of service-related communications as they are necessary to facilitate the functions of the website and are not promotional in nature.

7. Seller account information

You can change your 3to3 seller account information at any time or delete your 3to3 seller account by contacting 3to3 with your new information or informing us of your request to have your account deleted.

8. Security

Your 3to3 seller account information is protected by a password for your privacy and security. The seller must ensure that the account is kept secure and free from unauthorised access by keeping the password confidential, protecting their computer and signing off after having finished using a shared or public computer.

9. Changes to this policy

If the privacy policy is changed, 3to3 will amend this policy and post it onto the website. 3to3 will endeavour to inform you of any major changes, but it is recommended to regularly review this policy.
